When you create an account, we collect your email address, name, and password (stored in hashed form). We may also collect your company name and job title if provided.

(b) Content You Provide

We store the content you create and upload, including:

  • Answer Library entries (questions, answers, and tags)
  • Evidence Vault files (PDFs, documents, images)
  • Uploaded questionnaires and your responses
  • Custom answers and match selections

(c) Usage Data

We automatically collect certain information when you use the Service, including IP address, browser type, pages visited, time spent, and actions taken within the application (e.g., exports, matches accepted).

2. How We Use Your Information

We use your information to:

  • Provide and maintain the Service
  • Process your questionnaire responses and generate exports
  • Perform answer matching within your workspace
  • Send you service-related communications
  • Improve and optimize the Service
  • Ensure security and prevent fraud
  • Comply with legal obligations

Important: We do NOT use your Answer Library content, Evidence files, or questionnaire data to train AI models. Your proprietary business information remains yours.

3. How We Share Your Information

We may share your information only in the following circumstances:

  • Service Providers: With third-party vendors who help us operate the Service (e.g., cloud hosting, analytics), under strict confidentiality agreements
  • Legal Requirements: When required by law, subpoena, or court order
  • Business Transfers: In connection with a merger, acquisition, or sale of assets (you will be notified)
  • With Your Consent: When you explicitly authorize sharing

We do NOT sell your personal information or share it with third parties for their marketing purposes.

4. Data Security

We implement industry-standard security measures including:

  • Row-level security ensuring workspace data isolation
  • Secure file storage with access controls
  • Regular security assessments and monitoring

While we strive to protect your data, no method of transmission or storage is 100% secure. You are responsible for maintaining the confidentiality of your account credentials.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. Upon account deletion:

  • Your Answer Library and Evidence files are permanently deleted within 30 days
  • Questionnaires and responses are permanently deleted within 30 days
  • Backup copies are purged within 90 days
  • Anonymized usage analytics may be retained for service improvement

6. Your Rights Under Privacy Laws

Depending on your location, you may have the following rights under applicable privacy laws (including CCPA, the California DELETE Act of 2026, GDPR, and state privacy laws):

(a) Right to Access

You may request a copy of the personal information we hold about you.

(b) Right to Correction

You may request correction of inaccurate personal information.

(c) Right to Deletion

You may request deletion of your personal information, subject to certain legal exceptions. You can delete your account and all associated data through your account settings or by contacting us.

(d) Right to Data Portability

You may export your Answer Library and questionnaire data in standard formats (Excel, CSV) at any time through the application.

(e) Right to Opt-Out

You may opt out of non-essential communications. Note that we do not sell personal information, so there is no need for a "Do Not Sell" opt-out.
